Who we are
Wharfline Technologies LLC ("Wharfline", "we", "us") provides a managed AI phone receptionist service to business clients. When we handle calls on behalf of a business client, that business is generally the controller of its callers' information, and we act as its service provider, processing that information to deliver the service. Information we process
- Caller information: the caller's phone number, name, and any details a caller provides during a call (such as appointment details or the reason for calling).
- Call audio and transcripts: calls handled by the AI receptionist are recorded and transcribed so we can answer questions, book appointments, and send call summaries. Callers are told this at the start of every call (see "Call recording" below).
- Business client information: account, contact, billing, and configuration details from the businesses we serve.
- Website information: details submitted through forms on this site, and standard technical and usage data.
How we use information
We use information to operate the receptionist, book appointments, send call summaries to the business, provide support, maintain security, and improve the service. We do not sell personal information.
Call recording
Calls handled by the AI receptionist are recorded and transcribed to provide the service. The receptionist speaks a recording notice at the start of every call, before any other handling, so all parties are informed that the call is recorded. The only calls with no recording are those a caller ends before the assistant answers. Recording-consent requirements vary by location; some jurisdictions require all parties to be informed, which the start-of-call notice is designed to satisfy. Business clients are responsible for ensuring call handling and any forwarding complies with the laws that apply to them and their callers.
Service providers (sub-processors)
We share information with vendors who help us run the service. They process information only to provide their services to us:
- Retell AI (voice)
- ElevenLabs (speech synthesis, reached through Retell AI)
- OpenAI (language model, reached through Retell AI)
- Twilio (telephony)
- Cal.com (scheduling)
- Supabase (data storage)
- Resend (email delivery)
- Google Workspace (email)
- Cloudflare (hosting)
- Formspree (website forms)
- Tally (client onboarding forms)
- Stripe (payments and billing)
Data retention
Call recordings and transcripts (together, "Call Data") are retained for twenty-four (24) months from the date of the call, unless a different period is agreed in writing with the business client, and are deleted after that. We also delete Call Data sooner on request, or after account closure, unless a longer period is required to comply with law or resolve disputes. Account and billing records are kept as required.
Security
We use reasonable administrative and technical measures to protect information. No method of transmission or storage is perfectly secure.
Your choices
Individuals may request access to or deletion of their information by emailing support@wharfline.com. For caller information we process on a business's behalf, we may direct the request to that business.
Children
The service is not directed to children.
